Morgan, Lewis & Bockius LLP, a leading global law firm with offices worldwide, is seeking an Administrative Support Manager. This role reports to the Director of Administration and involves managing the administrative support staff providing skilled client-service support to lawyers, clients, and legal personnel efficiently and cost-effectively. The position is based in Los Angeles and Century City offices with travel required between these locations and follows a hybrid in-office/remote work schedule depending on business needs.
Primary Functions and Responsibilities
- Develop and implement staffing plans, manage administrative support assignments.
- Collaborate with office management and practice group leaders to align staffing with workflow and support requirements.
- Oversee administrative support staffing, schedules, and desk coverage ensuring proper coverage during evenings, weekends, and major projects.
- Manage annual performance review processes including evaluations, goal setting, and compensation alignment with firm standards.
- Conduct regular check-ins and team meetings focused on training, morale, and development.
- Review and approve vacation requests to ensure adequate coverage.
- Ensure staff have necessary training and information to support assignments.
- Collaborate on candidate selection process and temporary staff engagement.
- Monitor support ratios and ensure compliance with firm targets.
- Coordinate coverage for after hours, weekends, trial support, and special projects.
- Manage office logistics with practice group leaders.
- Oversee notary certifications and compliance.
- Lead employee events and activities for support teams.
- Provide leadership, set expectations, resolve staff issues, and promote team effectiveness.
- Facilitate staff development, provide feedback, coaching, evaluations, and recognition.
- Manage department budget and seek efficiency improvements.
- Ensure efficient vendor management and invoice processing.
Education and Experience
- Bachelor's degree from four-year college/university.
- Seven years progressively responsible related experience with at least three years supervisory or equivalent experience.
- Strong written and oral communication, leadership, analytical, interpersonal, and organizational skills.
- Proficiency with necessary technology.
- Ability to work within a matrix organization and handle adversity and change.
The role is "at-will" employment. Salary range for Los Angeles, CA, and Century City, CA is $119,200 - $190,675. Final salary is determined during the interview process based on experience and other factors. The position offers comprehensive benefits including medical, financial, 401(k), and paid time off.
