Role Summary/Purpose of Job
This role is for a proactive and highly competent Executive Assistant (EA) who provides professional, client-focused support to senior stakeholders in a dynamic and fast-paced environment. The EA works closely with other business services teams to deliver effective solutions efficiently. Responsibilities include practice support, administrative and document support, matter management, financial management, and marketing/business development support.
Key Responsibilities and Deliverables
- Proactive inbox and diary management; acting as first point of contact on behalf of stakeholders.
- Effective gatekeeping, scheduling, and communication including drafting correspondence and preparing meeting materials.
- Managing client communications, meeting logistics, travel arrangements, and project management tasks.
- Delegating administrative tasks and maintaining effective document systems.
- Supporting financial management tasks such as billing, WIP updates, and budget monitoring.
- Assisting with marketing, business development activities, and event coordination.
- Providing support in managing mentees, team members, and trainees as needed.
Key Requirements
- Graduate level education or equivalent experience.
- Commercial and financial acumen with advanced Microsoft Office skills.
- Strong organisational skills, attention to detail, and the ability to manage competing demands.
- Excellent communication skills with the ability to build relationships at all levels.
- Adaptability, discretion, and a collaborative approach to supporting business initiatives.
