
The GM & Commercial Assistant – SEA serves as the operational backbone of the SEA GM's office and the broader regional leadership team. This role combines high-level personal administration, end-to-end event management, and flexible commercial support across Ferring's Southeast Asia markets. The ideal candidate is a self-driven, detail-oriented professional who can balance structured recurring responsibilities with dynamic, fast-turnaround ad hoc requests from senior stakeholders.
1. Personal & Administration Assistant — SEA Regional Team
Provide seamless administrative support to the SEA GM and designated SEA regional members, ensuring efficient day-to-day operations across geographies.
Manage complex multi-time zone calendars, scheduling, and travel logistics (flights, visa, hotels, ground transport) for SEA GM and regional leadership
Prepare, proof, and format executive correspondence, and briefing notes to HQ, regional, and country audiences
Coordinate internal communications and action tracking across the SEA cluster (GM, Country GMs, BU Heads, HRBP, Finance)
Handle confidential documents and sensitive information with discretion and professionalism
Manage expense reporting, invoice processing, and budget tracking for regional team activities
Maintain organized SharePoint/Teams filing systems for regional documents, contracts, and records
Serve as the first point of contact for internal and external stakeholders reaching the SEA GM's office
Maintaining and ensuring SEA HQ office is up and running in good working order.
2. Event Management — Internal & External SEA Events
Plan and execute a portfolio of regional events, from strategic leadership forums to external scientific or commercial meetings, ensuring world-class delivery within budget and timeline.
Lead end-of-the-end planning and execution of SEA events, including:
Internal: SEA Leadership Meeting, Regional Town Halls, Country Business Reviews (CBRs), Year-End gatherings and other regional visits and internal training if any
External: Medical Congresses, Symposia, Key External Expert (KEE) engagement events, Partner/Distributor Summits
Manage vendor sourcing, venue negotiation, catering, AV/tech setup, and logistics coordination across markets
Develop event briefs, run-of-show documents, and post-event evaluations
Manage event budgets, track expenditures against plan, and ensure compliance with Ferring's Travel & Expense and HCP Interaction policies
Coordinate participant communications: invitations, agenda distribution, travel briefing packs, and on-site support
3. Ad Hoc Commercial & Project Support
Provide flexible, high-quality support to the SEA GM and regional team on a range of commercial, analytical, and project management tasks — often with short turnaround expectations.
Data compilation and analysis: consolidate data, report into structured summaries or dashboards
Market intelligence: gather, organize, and synthesize competitive landscape updates across SEA markets
Presentation support: consolidate (MBRs, QBRs, Strategy Reviews) in PowerPoint, ensuring consistency, quality, and readiness for HQ-level audiences
Project coordination: track action items, maintain project timelines, and follow up with stakeholders across countries and regional teams
QUALIFICATIONS & REQUIREMENTS
Education
Bachelor’s degree in business administration, Communications, Marketing, or a related field
Additional qualifications in Project Management or Event Management are an advantage
Experience
Minimum 3–5 years of experience in an executive assistant, office management, or commercial support role — ideally within a multinational pharmaceutical, healthcare
Demonstrated experience planning and executing events
Exposure to commercial data, KPI tracking, or sales analysis is a strong plus
