Job Summary:

In your pivotal role as GME Program Administrator, you will work with the Sr. GME Administrator to assist in the coordination of activities of the Graduate Medical Education (GME) program including activities such as the recruiting, onboarding, and ensuring compliance of incoming and current residents, assuring program compliance with regulatory standards, and maintaining essential documentation required for program viability. You will oversee day-to-day program coordination and functions as a liaison between 80 total residents, departments, attending faculty, administration and outside institutions with oversight.

REQUIRED:
• Bachelor’s (or equivalent experience)
• 2 years of relevant experience
• Prior experience in Graduate Medical Education is preferred

You will work fully on site initially at our office at Vanderbilt Medical Center North located at 1211 21st Ave. South, 4th floor in Nashville, TN. Following your probationary/training period, you will enjoy a remote hybrid schedule. Typical work hours are Monday through Friday during standard business hours. However, flexibility is essential as there will be times, such as during recruitment seasons, when extended hours may be necessary to accommodate program needs.

The Vanderbilt General Surgery Residency Program housed in the Department of General Surgery comprises teams of specialty surgeons and researchers working closely with one another to discover and reveal the latest medical and surgical innovations, while teaching and mentoring our residents the many facets of surgery.

KEY RESPONSIBILITIES

• Assists in all aspects of recruitment process.
• Provides direct administrative coordination and assists with routine responsibilities for Program Leadership.
• Assists with process improvement and academic oversight, including program development, tracking, implementation, and evaluation of the program via data collection and document prep.
• Reconciles monthly program ledgers and assists with budgetary management of the program as needed.
• Assists with maintaining and updating program-specific databases.
• Assists with collection and submission to accrediting bodies and other regulatory agencies.
• Assists with the planning, coordination, and execution of annual events for GME residency or fellowship program.
• Maintains Residency Management Software Program, creates evaluations, and manages working hour logs and reports.
