Job Profile Summary
Under limited supervision, this position assists in managing all fiscal activities related to construction and capital accounts in the Office of Facilities Management. Responsibilities include assisting the Senior Director, Capital Budgets with capital and operational financial tasks, including budgeting and accounting activities; reviewing and approving construction progress payments packages; specialized recordkeeping, database management and/or specified information gathering projects and tasks, compliance assurance, ad-hoc reporting, and a wide range of highly complex associated administrative, fiscal, staff support, and planning activities. Coordinates assigned activities with other departmental areas, departments, campuses and district offices. Performs related work as directed.
Minimum Education:
- Bachelor's degree in accounting, or other business-related field. Master's degree preferred.
Minimum Experience/Training:
- Six years of relevant experience.
- An equivalent combination of experience and education may be considered where applicable.
Essential Functions:
- Oversees review, compilation, and payment submittal of construction progress payment requests, coordinating with Project Managers and Administrative Staff to ensure timely approvals.
- Monitors recording of capital project financials; prepares budget and accounting records, researches transactions, and reports findings.
- Manages project job revenue and cost reports, utilizing actual and forecasted information for effective reporting.
- Analyzes trends in key performance indicators impacting fund balances, provides variance analysis versus budget, and assists operational changes.
- Develops business understanding to proactively provide and analyze data, communicating project cost information and creating executive-level reports and presentations.
- Works with Facilities senior management and department leaders to improve financial and project costing systems processes and controls.
- Coordinates preparation of monthly and annual department budgets and forecasts, focusing on revenue tracking, capital projects cost estimates, and personnel expenses.
- Creates ad-hoc analyses and assists in special projects as assigned.
